How to Set Up and Use Keeper Password Manager

Keeper is a business-grade password manager that stores, generates, and auto-fills passwords securely. This guide covers setup, daily use, and best practices.
Why Use a Password Manager?
Reusing passwords or writing them down puts your accounts at risk. A password manager stores every password in an encrypted vault protected by one master password. You only need to remember one โ Keeper remembers the rest.
Getting Started
Step 1 โ Accept Your Invitation
Your administrator will send you an invitation email from Keeper. Click the link in the email to create your account.
Step 2 โ Create Your Master Password
Choose a strong master password โ at least 14 characters, combining words, numbers, and symbols. This is the only password you need to remember. Write it down once and store it somewhere safe (not on your computer).
โ Important: If you forget your master password, it cannot be recovered. Keeper uses zero-knowledge encryption โ not even Keeper or ATS Systems can retrieve it. Keep your master password safe.
Step 3 โ Install the Apps
- Browser extension โ Install the Keeper browser extension from your browser's extension store (Chrome, Edge, Firefox, Safari). This enables auto-fill on websites.
- Desktop app โ Download from keepersecurity.com/download (Windows or Mac).
- Mobile app โ Download "Keeper Password Manager" from the App Store or Google Play.
Sign in to each app using your email and master password.
How to Save a New Password
Automatically (Recommended)
- Go to a website and sign in as usual.
- Keeper will pop up asking if you want to save the password.
- Click Save โ the credentials are stored in your vault.
Manually
- Open Keeper and click Create New โ Record.
- Enter the title (e.g. "Company Bank Login"), username, password, and website URL.
- Click Save.
How to Auto-Fill a Password
- Go to a website login page.
- Click the Keeper icon that appears in the username or password field.
- Select the correct record from the dropdown.
- Keeper fills in the username and password automatically.
How to Generate a Strong Password
- When creating a new account or changing a password, click the Keeper icon in the password field.
- Click Generate Password.
- Adjust the length (aim for 16+ characters) and options (uppercase, numbers, symbols).
- Click Use Password โ Keeper fills it in and saves it to your vault.
Tip: Let Keeper generate all your passwords. You don't need to remember them โ that's the whole point.
How to Share a Password Securely
- Open the record in Keeper.
- Click Share.
- Enter the recipient's Keeper email address.
- Choose permissions: View only, Can edit, or Can share.
- Click Share.
The recipient receives the password in their own Keeper vault โ it's never sent via email or text.
Good to know: Shared records stay in sync. If you update the password, the recipient sees the updated version automatically.
Common Issues
"Keeper isn't auto-filling on a website"
Make sure the browser extension is installed and enabled. Some websites use non-standard login forms that Keeper can't detect โ in those cases, open Keeper, copy the password manually, and paste it.
"I forgot my master password"
If your organisation has Account Recovery enabled, your Keeper administrator can initiate a recovery. Contact ATS Systems on 07 3523 3660. If recovery is not enabled, the vault cannot be accessed โ all passwords must be reset individually.
"I got a new device โ how do I access my vault?"
Install Keeper on the new device and sign in with your email and master password. Your vault syncs automatically across all devices. If your admin has enabled device approval, you may need to approve the new device from an existing one.
๐ Internal Note (Technicians)
Keeper Business admin console: keepersecurity.com/console โ log in with admin credentials. Key functions: invite users, enforce policies (minimum master password length, 2FA requirement), configure vault transfer on offboarding, and enable Account Recovery.
For offboarding: use Transfer Vault to move the departing user's records to another user or admin before deleting the account. Records are permanently lost if the account is deleted without transfer.
Keeper uses zero-knowledge architecture โ we cannot see or recover vault contents. All enforcement is policy-based, not content-based.
