How to Set Up Email on Your Phone or Computer

Get your work email running on your phone, tablet, or computer. This guide covers setup for Microsoft 365 email on all major platforms.

Good to know: The Outlook app is recommended over the built-in Mail apps because it supports all Microsoft 365 features including shared mailboxes, focused inbox, and proper calendar integration.
Setup on iPhone or Android
- Download Microsoft Outlook from the App Store or Google Play Store.
- Open the app and tap Add Account.
- Enter your work email address and tap Continue.
- Enter your password and approve MFA if prompted.
- Allow notifications when asked.
- Your inbox, calendar, and contacts will sync automatically.
Setup on Windows PC
- Open Outlook (or install it from your Microsoft 365 portal at office.com).
- If it's a fresh install, the wizard starts automatically. Otherwise, go to File → Add Account.
- Enter your work email address and click Connect.
- Sign in with your password and approve MFA if prompted.
- Outlook will auto-configure and begin syncing.
Setup on Mac
- Open Outlook for Mac.
- Go to Outlook → Settings → Accounts → Add Account (or follow the first-launch wizard).
- Enter your work email address and click Continue.
- Sign in and approve MFA if prompted.
Setup on Webmail (No Install Needed)
- Open a browser and go to outlook.office.com.
- Sign in with your work email and password.
- Approve MFA if prompted.
- You're in — full access to email, calendar, contacts, and OneDrive.
What NOT to Do
- Don't use IMAP/POP settings for Microsoft 365 accounts. Always use the Exchange/Microsoft 365 option. IMAP won't sync calendars, contacts, or shared mailboxes.
- Don't use the built-in iPhone/Android Mail app unless specifically directed — it doesn't support all Microsoft 365 features.
Common Issues
"The app says my account can't be found"
Double-check you're entering your full email address (not just your name). If your domain was recently migrated to Microsoft 365, DNS changes may still be propagating — wait 1–2 hours and try again.
"I'm getting a certificate error"
This usually means the mail server address is wrong or your device clock is out of sync. Make sure your device's date and time are set to automatic.
"Emails appear on my phone but not my computer (or vice versa)"
This can happen if one device is set up as IMAP while another uses Exchange. Remove the IMAP account and re-add it using the Exchange/Microsoft 365 option so all devices stay in sync.
